We’re thrilled to introduce a new Password-Protected PDF feature in Apsona for Salesforce. This enhancement, available through the Document Merge functionality, adds an extra layer of security by ensuring that only users with the correct password can open generated PDFs.
How It Works
Each generated PDF is automatically encrypted with a date-based password in the format:
ApsonaMMDDYYYY
For example, if a PDF is created on July 5, 2025, the password will be:
Apsona07052025
This makes it simple and consistent to secure and access sensitive documents.
Availability
- The feature is currently in pilot mode and not enabled by default.
- Available only to Apsona Bundle customers or customers committed to upgrade to the Bundle plan at renewal.
- Once enabled, password-protected PDFs can be used in:
- Detail Page Button merges
- List View Button merges
- Scheduled Document Merges
- Email Merge Actions
Using the Feature
1. Enable the Feature
Fill out our Early Access Form – Link for requesting access
2. Launch a Merge Action
Go to Tools → Merge/Mail and select your merge action.
3. Access Encryption Settings
On the Preprocessing page, scroll to Encryption Settings.
4. Enable PDF Encryption
Check the box for “Encrypt PDF”.
5. Complete the Merge
Run the merge as usual. The resulting PDF will be encrypted.
6. Access the PDF
Use the password format (ApsonaMMDDYYYY) to open the file.
If the PDF was sent via email, use the email’s sent date to determine the password.
Limitations
- The password format is fixed and cannot be customized.
- Users must know the PDF generation date to open the file.
- This feature applies to PDF outputs only (not supported for .docx).
Eligibility & Opt-In
This new enhancement is currently available for:
- Existing Bundle Customers – If you are already on the Apsona Bundle plan, you are immediately eligible to enable this feature.
- Customers Committed to Upgrade – If you plan to upgrade to the Apsona Bundle in your next renewal cycle, you are also eligible to access this feature today.
