Introduction
Choosing the right license type in Apsona can make all the difference in how your team works with Salesforce data. While Standard licenses provide full access to Apsona’s data management and reporting capabilities, Specialized licenses are designed for more controlled, role-specific use. Understanding the differences helps ensure that each team member has the right tools for their responsibilities, such as, creating and managing reports, running merge actions, or working within embedded Salesforce components. In this post, we’ll break down the key differences between Standard and Specialized licenses and highlight how each impacts what users can (and can’t) do inside Apsona.
Standard v. Specialized licenses
The biggest difference is seen in the Apsona application. Specialized license users have no access to objects, which means no ability to perform any of the data management functions, like mass updating, deleting or creating records, including the dedupe and match tool. Since they do not see any objects, they cannot access any of the options from the Tools menu in tabular or console view.

Reporting tools are also a little different. Specialized license users have access to the same reports, but they cannot perform the same actions on reports.
- Notice when I click on the name of a report as a standard licensed user, I have several options, as a specialized licensed user, when I click on the name of a report, the report just runs. I have no other options.

- However once the report is run, I have many of the same abilities as a standard licensed user; I can temporarily change the filters, export and launch merge actions.
Apsona components can also be embedded in salesforce pages. Depending on the component being embedded, the abilities of both licensees are similar.
For example, on this Salesforce home page, we have embedded a grid view. Both users see the same filter options and tools options.

However the standard licensed user can access Apsona Grid Admin, which is where grids are created and updated.

Back over on the home page, a section which includes links to Apsona reports is visible to both users. Clicking on any of the reports is exactly the same for either license, and once the report is run, you see the same capabilities as when a report is run in the Apsona app.

Apsona components can also be embedded on record pages, as well as home pages. Depending on the component embedded, the functionality is the same. Notice on this campaign page, we have several buttons which all launch merge actions. The buttons work exactly the same and produce the same output for both types of license.

We have also embedded both a tabular view and report of the campaign member related object. Since a specialized license user cannot access objects and the data management options in Apsona, the embedded tabular view will present an error. Both licenses can view the report tab with all the same capabilities. NOTE: grid views are a way to give any user (including specialized license users) the ability to manage data, but in a more controlled environment than tabular view. When the grid view is created by the standard licensed user, they define what capabilities the specialized licensed user will have.



So in summary, specialized license users do not have the full data management capabilities that a standard licensed user has, nor can they create reports or merge actions. However they can view reports and run merge actions with all the same post-run functionality as a standard user, and can have limited data management capabilities with grid views.
