Store PDFs Securely Inside Salesforce – No External Storage Needed

We’re excited to announce one of the most requested enhancements from our Higher Education and Nonprofit customers — Apsona now supports direct storage of generated PDFs within your Salesforce org!

Previously, merged PDFs were temporarily stored on Apsona’s external servers for up to two hours before being automatically deleted. With this update, your PDFs can now be generated, accessed, and stored securely within Salesforce, eliminating external storage dependency and strengthening your organization’s compliance posture.

Why This Matters

This enhancement has been one of the most sought-after requests from our enterprise and higher-ed customers. By storing documents directly in Salesforce, you gain:

  • Enhanced Data Security – No external or temporary storage; everything stays within your Salesforce org.
  • Compliance Confidence – Meets stringent data privacy and retention standards (FERPA, GDPR, HIPAA, etc.).
  • Simplified Management – PDFs are stored as Salesforce Files or records within the Apsona Storage object.
  • Seamless Integration – No workflow changes needed — just enable the feature and continue using your existing document templates and merge actions.

How to Enable Local PDF Storage

To enable this feature, please follow these steps in your Sandbox environment first. Once testing is complete, you can replicate the same setup in Production.

1. Install or Upgrade to Apsona v1.523 or Higher

Ensure your org is running the latest version of Apsona for Salesforce.

2. Configure the Connected App

  1. Go to Setup → Connected Apps → Manage Connected Apps → Apsona For Salesforce Content → Edit
  2. Set “Permitted Users” to Admin-approved users are pre-authorized

3. Set OAuth Policy

  1. Navigate to Setup → Connected Apps → OAuth Usage → Manage Policies
  2. Under Manage Profiles, select the relevant profiles and click Save

4. Make Apsona Storage Visible

  1. In Apsona, go to Settings → Configurations → Select Profile → Edit
  2. Move Apsona Storage from Available Non-visible Objects to Visible Objects

5. Notify Apsona

Once your Sandbox setup is complete, notify the Apsona team.
We’ll make a small back-end update to fully activate local PDF storage in your org.

6. Move to Production

After successful testing in Sandbox, repeat the same configuration in your Production environment.
Our team will then apply the corresponding back-end updates to complete your setup.

What Happens Next

Once enabled, Apsona will store merged PDFs directly in your Salesforce org (within the Apsona Storage object). No external or temporary files will be created — ensuring a seamless, secure, and compliant experience for your organization.

This rollout is currently available to Bundle customers or those committed to upgrading to the Apsona Bundle Plan.

  1. Existing Bundle Customers – If you are already on the Apsona Bundle plan, you are immediately eligible to enable this feature.
  2. Customers Committed to Upgrade – If you plan to upgrade to the Apsona Bundle in your next renewal cycle, you are also eligible to access this feature today.

How to Opt-In

To activate this feature for your org:

  • Step 1: Fill out our Early Access Form – Link
  • Step 2: Our team will confirm your eligibility and guide you through the next steps.
  • Step 3: Once confirmed, follow the configuration steps outlined above, and our team will complete the back-end update for your org.
